Using customer data with AI tools in Malaysia
Every workflow on this site ends with you pasting something into a tool someone else runs. This is what that means under Malaysian law, and the checks worth doing once rather than per prompt.
You stay responsible
Under Malaysia’s PDPA your business remains the data user. That responsibility does not disappear because an AI model did the work. If the output is wrong, or the data went somewhere it should not have, the obligation is still yours.
Pasting is disclosing
Paste customer records, employee details or other personal data into an AI service and you may be disclosing it to a third party. Depending on the provider and the hosting, it may also be processed outside Malaysia. Both of those have rules attached.
Three things to check with any provider
Whether your prompts and uploads are used to train its models. Where the data is processed and how long it is kept. Whether you can turn training or storage off. The answers differ by provider, by account type and by setting, so check yours rather than assuming.
Reduce before you paste
Most prompts work as well on “Customer A” as on a real name. Replace names, phone numbers, IC numbers and account numbers with initials or reference numbers. You keep the useful shape of the data and hand over none of the identifying part.
A rule that survives every provider change
Do not paste anything you would not be comfortable handing to an outside party. Terms change, providers get acquired, settings get reset. That rule does not.
